Job Summary

We are seeking a detail-oriented and reliable Operation and Payroll Officer to support daily operations and payroll management for our recruitment and outsourcing business. This role plays a critical part in ensuring accurate payroll processing, contract compliance, workforce administration, and operational support across Executive Search, Mass Outsourcing, and IT Recruitment services.

Key Responsibilities

1. Payroll & Compensation Management

Process monthly payroll for permanent staff, contract staff, and outsourced employees

Ensure accurate calculation of salaries, overtime, allowances, commissions, and deductions

Manage payroll for high-volume outsourced workforce and IT contractors

Ensure payroll accuracy, timeliness, and compliance with company policies

2. Contract & Employee Administration

Prepare, manage, and maintain employment contracts (permanent, contract, outsourced)

Coordinate onboarding and offboarding processes for candidates and outsourced staff

Maintain accurate employee records and documentation

Support visa, work permit, and labor compliance documentation (if applicable)

3. Operations Support

Support recruitment and sales teams with operational coordination

Track headcount, assignment status, contract renewals, and extensions

Coordinate with clients on timesheets, attendance, and payroll approvals

Support mass recruitment and large-scale outsourcing projects

4. Compliance & Reporting

Ensure compliance with Vietnam labor laws, tax regulations, and social insurance requirements

Prepare payroll reports, headcount reports, and cost summaries for management and clients

Support internal and external audits related to payroll and operations

5. Systems & Process Improvement

Maintain and update payroll systems, HRIS, and internal databases

Improve payroll and operational workflows to increase efficiency and accuracy

Ensure data confidentiality and compliance with company policies

Service-Specific Scope

Executive Search

Support offer management, contract issuance, and placement documentation

Coordinate guarantee period tracking and invoicing support

Mass Outsourcing

Handle high-volume payroll, attendance tracking, and workforce administration

Support SLA tracking and operational reporting for clients

IT Recruitment

Manage payroll for IT contractors (monthly, hourly, project-based)

Support contract renewals, extensions, and rate adjustments
